This is a popular and mandatory application for most businesses.
Step 1: Prepare the declaration file: Use the Declaration Support Software (HTKK) of the General Department of Taxation to prepare the tax declaration (for example: VAT declaration, CIT declaration...). After completion, export the declaration to a .xml file.
Step 2: Log in to the system: Access the Electronic Tax page http://thuedientu.gdt.gov.vn , select the "Enterprise" subsystem and log in with the enterprise's tax code account.
Step 3: Submit declaration: Go to "Tax declaration", select "Submit XML declaration" and click "Select declaration file" to upload the .xml file prepared in Step 1.
Step 4: Digitally sign and submit: Plug the USB Token into the computer. The system will display a window asking for digital signature confirmation. Enter the correct PIN of the USB Token and click "Accept" or "Sign".
Step 5: Complete: After successfully signing, click the "Submit declaration" button. The system will return a notification that the declaration has been successfully submitted.
Important note: When renewing or reissuing a digital signature, the enterprise will have a new serial number. It is mandatory to update this serial number in the "Account" section on the Electronic Tax page before submitting the declaration to avoid the error "Invalid digital certificate".
For import-export enterprises, registration and use of digital signatures with Customs authorities is mandatory.
Step 1: Prepare the environment:
Browser: The Customs system usually requires the use of Internet Explorer (IE) browser.
Java Software: Install the compatible Java version as required by the General Department of Customs. Normally, it is necessary to remove other Java versions and install the specialized version provided by Customs to avoid conflicts.
Driver Installation: Plug in USB Token and install the supplier's management software (driver)
Step 2: Register digital signature with Customs:
Visit the website of the General Department of Customs (https://www.customs.gov.vn) and find the section "Registering Enterprises using digital signatures".
Fill in the information of Tax code, ID card/CCCD number of the legal representative.
The system will read information from the USB Token. The business needs to confirm and enter the effective date and expiration date of the digital certificate, then click "Register information"
Step 3: Configure on declaration software: Open specialized Customs declaration software (eg: ECUS, CDS Live+), go to system settings and select the correct digital signature provider (eg: VIETTEL-CA) and activate the feature "Apply digital signature when declaring".
Step 4: Sign and transmit the declaration: After creating the declaration on the software, select the "Declare" function. The software will ask you to enter the USB Token PIN to electronically sign the declaration before sending it to the Customs system.
Setting up the technical environment for the Customs system is often more complex than for the Tax system. Businesses need to strictly adhere to software version requirements to ensure successful registration and declaration.
Participating in online bidding requires businesses to register digital certificates on the National Bidding Network System.
Step 1: Preparation:
Fully install USB Token driver.
Install and start the support software (Agent) of the National Bidding Network System (usually has a crane icon)
Step 2: Log in and access: Log in to the contractor's account on the page https://muasamcong.mpi.gov.vn . Then, go to "Personal page"
Step 3: Start registration: Select "Account information and digital certificate", then select the "Register for digital certificate" tab.
Step 4: Select digital certificate: The system will automatically identify the digital certificates in the USB Token plugged into the computer. Select the correct digital certificate of the organization/enterprise.
Important note: The system only accepts digital certificates issued to organizations, not personal digital certificates. If you do not see the digital certificate displayed, please check the type of certificate you have registered.
Step 5: Verify and save: Enter the USB Token PIN to verify. Then, check the information again and click "Save"
Step 6: Two-factor authentication: The system will ask you to enter the authentication code sent via email or from the Google Authenticator app (depending on your account settings). Enter the code and click "Submit" to complete.

1. Digital signature not found error / Invalid digital signature
Reason :
Inserted wrong USB Token of another company.
The USB Token driver (management software) is faulty or not installed.
Entered wrong PIN (note to check Vietnamese keyboard or Caps Lock key)
The new serial number of the digital certificate has not been updated on the system (Tax, Social Insurance...) after renewal.
How to fix:
Double check that the USB Token is correct for the company.
Uninstall the old driver and reinstall the latest version from the vendor's website.
Re-enter your PIN carefully.
Log in to your account on the public service portal and update your digital certificate information.
2. Computer error does not recognize USB Token
Reason :
The computer's USB port is faulty.

How to fix:
Try plugging the USB Token into a different USB port.
Install the driver according to the manufacturer's instructions.
Check and install additional software as required by each public service page.
3. Digital signature error is locked
Cause: Entered wrong PIN more than the specified number of times (usually 5-10 times). The system will automatically lock the Token to protect data.
Solution: Contact the supplier's technical support immediately for instructions on the unlocking procedure. Never attempt to enter additional PINs.
4. Error "Digital certificate has not been registered with the tax authority"
Cause: This is a common error after renewing or reissuing a digital signature. The enterprise has a new digital certificate but has not yet updated this information with the Tax authority.
Solution: Log in to thuedientu.gdt.gov.vn, go to "Account Management" -> "Change service information" and update the serial number of the new digital certificate.
Is there a penalty for expired digital signature?
The expiration of the digital signature itself is not subject to any penalty. However, if this leads to delays in submitting tax declarations, customs reports, etc., the enterprise will be penalized according to the provisions of law in that field.
When renewing, will the remaining usage time of the old digital signature be accumulated?
Yes. Most providers have a policy of adding the remaining term of the old digital certificate to the term of the new renewal package.
How to retrieve PIN code if forgotten?
Businesses need to contact the digital signature service provider directly. The provider will perform the owner verification procedure and reissue a new PIN code.
Can a digital signature be used for multiple services (Tax, Customs, Social Insurance)?
